This guide will walk you through the formal process of requesting an email export. Following these steps carefully will help ensure your request is clear, complete, and processed as efficiently as possible.
Who Can Submit a Request
To maintain security and confidentiality, requests for email vault exports are limited to specific individuals. Eligible parties include:
Franchise Owners: The individual whose name appears on the official Franchise Agreement.
Authorized Representatives: A formally designated representative of the Franchise Owner, such as their legal counsel.
Note: Please be aware that identity verification may be required.
Preparing Your Request for the Best Results
To help our team find the exact information you need, please gather the following details before submitting your request. The more specific you are, the faster and more accurate the export will be.
Reason for Request: Briefly explain the purpose of your request (e.g., for discovery in a specific legal matter).
Specific Timeframe: Provide a clear start and end date for the emails you need (e.g., January 1, 2025 β March 31, 2025).
Parties Involved: List the full names and email addresses of the individuals whose mailboxes need to be searched.
Keywords: Include any specific keywords, phrases, or job numbers that will help filter the results.
Check Your Storage: Email exports, especially those covering long timeframes, can result in very large files. Please ensure you have sufficient storage space on your computer to download the final export file.
How to Submit Your Formal Request
You can submit your request using one of the two methods below. Please choose only one method to avoid duplication.
Option 1: Submit Through the Helpdesk (Preferred)
Navigate to G.J. Software.
Click the Help icon in the top right.
Select Send Request to Support in the help menu.
Create a new support ticket.
Fill in the ticket details, making sure to paste all the information you gathered from the preparation step into the request description.
Option 2: Submit by Email
Compose a new email containing all the details you gathered in the preparation step.

What to Expect After Submitting
Once your request is received, our team will begin the review process. Please allow for 7-10 days to action your request.
Security Verification: To protect sensitive information, you may be required to provide proof of identity before your request is processed. Our team will contact you if this step is necessary.
Approval Process: Your request will be reviewed by the support team and the Franchisor.
Receiving Your Export: If your request is approved, you will receive an email with a secure link to download your email export as an MBOX file.
