Configuring the Franchisee tab in System Variables

How to read and manage the Franchisee tab in System Variables — an office's company, address, contact, website visibility, and franchise agreement details, and where each one appears.

The Franchisee tab in System Variables holds an office's own details, including its company information, address, contact details, website visibility, and franchise agreement terms. This article explains each setting and where its value appears.

To open these settings, go to Setup > System Variables > Franchisee.

This tab is view-only for office users. Franchise Owners and office staff can open the Franchisee tab to see their office's recorded details, but cannot change anything on it. If an office needs one of its details changed, the Franchise Owner should contact the Franchisor Team.

Changing a setting (Franchisor Team and Master Franchise)

These steps apply to the Franchisor Team and Master Franchise. Office users do not see the editing controls described here. For them, the fields are read-only.

  1. Go to Setup > System Variables > Franchisee.

  2. Edit the field or option to change.

  3. Click Process to save the changes. To discard changes before saving, click Reset.

Company

  • Email: the office's email address.

  • Type of business: the kind of business the office runs.

  • Formed: the date the office was created in G.J. Software.

  • Company name: the registered legal name of the company.

  • Display name: the name shown throughout G.J. Software.

  • System name: the office's system alias (read-only).

  • Tax ID: the office's business tax identifier. This is region-specific: ABN (with ACN) in Australia, GST number in New Zealand, and Federal Tax ID in the United States.

  • Trading as / DBA: the trading name the office operates under.

Address

  • Street 1 and Street 2: the office's street address.

  • City: the city or suburb.

  • State: the state or territory, selected from a list (shown in Australia and the United States). A short state code is shown beside it automatically.

  • Postcode / Zip: the postal code.

  • Builder's licence no: tick Applies and enter the builder's licence number in the field that appears.

Contact

  • Office phone: the office's main phone number.

  • Fax: the office's fax number.

  • Mobile: the office's mobile number.

Visibility and access

  • Public listed: tick to list the office in the public office locator on the G.J. Gardner Homes website. Saving a change here updates the website. If a parent office is unlisted, its sub-offices are unlisted too.

  • Users from other offices can access: tick to allow users from other offices to be given access to this office (a matching option then appears in user management).

Agreement

The Agreement subtab records the franchise agreement's key dates and financial terms. The Franchisor Team and Master Franchise manage these.

  • Key dates: the deposit, contract-signed, original commencement, and current agreement dates; the agreement term (in years); the renewal date (calculated from the current agreement date plus the term, and editable); and the office-closed date. The renewal date also appears in the offices list.

  • Financial terms: the office tax rate, the initial franchise fee, the ongoing franchise fee percentage, and the Variation / Change Order fee percentage. The franchise fee and Variation / Change Order fee feed the fee calculations on job billing.

  • Assignment fees: the percentages that apply if the franchise is assigned within 18, 24, or 36 months, or after 36 months, together with the on-sell date and sale amount.

Note: The Franchisor Team sets franchise agreement dates and financial terms as part of the franchise agreement. Contact the Franchisor Team if any of these need to change.

How these details are used

The office's company, address, contact, and tax details appear on office-branded documents (such as quotes, invoices, and certificates) and in the offices list. Saving the Franchisee tab keeps these details in step across G.J. Software, updates the public website listing where relevant, and records an entry in the Application Event Log.

Access and permissions

Important: View: office users with View access to the Franchisee tab, plus the Franchisor Team and Master Franchise. Edit: the Franchisor Team and Master Franchise only; this cannot be granted through office permissions.
