Managing Quote Changes in Colour Selections

Quote changes in the Colour Selection are adjustments or updates made to the initial job specifications based on client requests or project requirements. These changes originate from the quote produced for the client and are added as RFQ Items and Components from the price book. Effective management of these changes ensures that all modifications are accurately documented and integrated into the Colour Selections.

Understanding Quote Changes:

Quote changes added to quotes from the price book as RFQ Items and Components will appear in the Colour Selection. If these items were linked to specific headings and sub-headings in the colour selection master in the price book, they will be placed in those areas and need to be edited accordingly. Items and components not linked will be grouped into a special section called "Other Quote Changes" and must be dragged to the relevant subheading or left in the "Other Quote Changes" section and hidden.


Viewing Quote Changes

To view quote changes in a Colour Selection:

  1. On the navigational sidebar, select Jobs.

  2. Once the Jobs section expands, choose Colour Selections.

  3. Locate and select the job for which you want to manage quote changes.

  4. The list of Quote Changes is displayed on the right part of the screen, showing:

    • Name: The name of the item considered a Quote Change.

    • Description: A description and memo of the item considered a Quote Change.

    • Hide: An optional field to exclude the quote change from the colour selection.


Moving Quote Changes

To move quote changes into the Colour Selection as items:

  1. Select the Item:

    • On the list of other Quote Changes, locate the item you want to move.

  2. Move as an Item:

    • Select the Heading and Sub-Heading which includes the items list where you want to move the item from the Quote Changes list.

    • Hover over the item and click the Move to Items icon.

    • If needed, return the item back to Quote Changes by clicking the Move back to Quote Changes icon.

Tip: Linking items and components to colour selection masters can automatically place them under the correct headings and sub-headings.


Hiding Quote Changes

To hide specific items or the entire list of Quote Changes:

  1. In the list of Quote Changes, find the item you want to hide in the Colour Selection.

  2. Check the box in the Hide column for the item you want to hide.

  3. Click Process to save changes.

Note: When hidden, the item will not appear under the Quote Changes heading in the produced Colour Selection. If all items are hidden, the Quote Changes heading will not be shown in the Colour Selection.


Replacing a Colour Selection Master

Sometimes, you might need to replace the colour selection template to ensure it aligns with the latest updates or changes in job requirements. Replacing the template will completely reset all existing selections and move all quote changes back to the "Other Quote Changes" section. This process helps maintain accuracy and consistency in the documentation. To replace the template, select the new Colour Selection Master, confirm the replacement, and apply the changes. This ensures that the colour selections are up-to-date and reflect the current job requirements.


By following these steps, you can effectively manage quote changes in Colour Selections, ensuring all client requests and project updates are accurately documented and reflected in the final colour selection document.
