The user profile allows you to manage personal settings, including your account password, profile photo, document signature, and language preferences. You can access profile settings from the top-right corner of the screen.
Accessing the user profile
The user profile menu is located in the top-right corner of the G.J. Software interface.
Click your name in the toolbar at the top of the screen.
A dropdown menu displays the available profile options.
Profile Photo — Upload or update your profile photo
User Signature — Upload or update your digital signature
Change Password — Modify your Google account password
Logout — Sign out of the system
Changing your password
G.J. Software uses Google accounts for user authentication. You change your password through your Google account settings rather than within G.J. Software itself.
Click your name in the toolbar.
Select Change Password from the dropdown menu.
The system redirects you to the Google account page.
Follow the standard Google procedure to change the password.

Uploading a profile photo
You can add or update a profile photo for your account. Profile photos appear throughout the system when you are mentioned or assigned to tasks.
Photo requirements
The profile photo must meet the following specifications:
File format: .JPEG, .JPG, or .PNG
Minimum dimensions: 200 x 200 pixels
Maximum file size: 5 MB

If you don't have a professional headshot, you can use Google Gemini to clean up the background and enhance the lighting of a standard photo. Just take quick reference photo and use the following prompt:

Upload or update profile photo
Click your name in the toolbar.
Select Profile Photo from the dropdown menu.
Click the Upload file icon, or drag and drop the image onto the form.
Use the built-in crop tool to adjust the framing, then click Save.
The system saves the photo and displays it in your profile.
Note: Uploading a profile photo updates the photo across connected services, including Google Workspace (Gmail, Google Calendar, Google Drive), the G.J. Gardner Homes website under the "Meet the Team" section on each office's page, and third-party integrations such as REA and domain.com.au.
Remove profile photo
To remove the current profile photo:
Open the Profile Photo form.
Click the Delete icon.
Click Save.
Setting up your user signature
You can upload a digital signature image for signing documents within the system. Your signature appears on contracts, agreements, and other documents that require authorisation.
Signature requirements
The signature image must meet the following specifications:
File format:** .JPEG, .JPG, or .PNG
Recommended dimensions:** Approximately 200 x 200 pixels (square crop preferred)
Maximum file size: 5 MB
Tip: Crop the signature image as tightly as possible before uploading to minimise unnecessary white space on documents where the signature appears. You can also use AI, like in the tip above, to upload a picture of your signature taken from a phone to clean it up and remove any shadows or errors.
Upload or update signature
Click your name in the toolbar.
Select User Signature from the dropdown menu.
In the User Signature form, click the Browse file icon or drag and drop the signature image onto the form.
Click Save.
The system stores your signature and applies it when you sign documents.
Remove signature
To remove the current signature:
Open the User Signature form.
Click the Delete icon.
Click Save.
Logging out
To log out of the system:
Click your name in the toolbar.
Select Logout from the dropdown menu.
The system signs you out and returns to the login page.
