This article explains the process of inviting a client to the Customer Portal. A comprehensive Client Guide to the Customer Portal is also available and can be shared with your customer for additional support.
Sending an Invitation to the Customer Portal
You can invite up to three people associated with the same job to the Customer Portal. This allows multiple stakeholders, such as both partners in a couple or a client's representative, to access the project information.
For each person you wish to invite:
Navigate to the Customer Contact record for the client.
In the tabbed menu, select Customer Portal.
Click Send Invitation.
Once invited, the 'Send Invitation' button will disappear, and an 'Invited' flag will be displayed. If the client has not yet signed into the portal, you will have the option to remove and resend the invitation from this screen.
Important Notes:
You can send a maximum of three invitations per job.
Each invited person will have their own login credentials and access to the Customer Portal.
All invitees for a job will see the same project information.
If you need to invite a different person after reaching the maximum, you'll need to remove one of the existing invitations first.
Client Acceptance of the Invitation
Upon invitation, the system sends an email to the Contact. This email contains a link for the client to create a password and log in to customer.gjgardner.com, customer.gjgardner.com.au, or customer.gjgardner.co.nz.
Customising the Customer Portal Email
The initial email sent to the customer contact to create their password is not customisable. However, if the contact has already been invited to the Customer Portal by another office, they'll receive a welcome email with instructions on how to log in. The text of this email may be customised to suit your needs. To customise the welcome email:
In the Builder Portal, click Setup > Manage Email Templates in the left menu.
Select the template CustomerInvitationFromAnotherOffice.
Customise the template as required.
Important: Do not change the title of this email. You will only be able to view and edit the template if you have the 'Manage Email Templates' office permissions.
