This article explains how to share and manage documents on the Customer Portal, allowing you to control what information is available to your clients throughout their building journey.
Prerequisites
Before sharing documents, ensure that:
The documents you wish to share are in the official Job Docs folder in Google Drive
Accessing the Share Documents Tab
Log in to the Builder Portal
Navigate to Jobs > Jobs List
Find and select the relevant job
Click on the Shared Documents tab at the top of the job details page
Sharing Documents
In the Shared Documents tab, click the Google Drive icon next to the type of file you want to share
In the Google Picker, select the document you wish to share
Click Share Selected Documents
The shared document will now appear in the Shared Documents list and be visible on the Customer Portal.
Document Types
You can share the following types of documents:
Contracts
Specifications
Plans
Color Selections
Change Order Quotations
Job Letters
Note: You can only share one Contract, Specification, and Color Selection at a time. For other document types, you can share multiple files.
Viewing Shared Documents
In the Shared Documents list, you can see:
Shared date: When the document was shared
Shared by: Name of the user who shared the document
Documents: Name of the document
Type: Type of the document
Unsharing Documents
To remove a document from the Customer Portal:
Locate the document in the Shared Documents list
Hover over the document until action icons appear
Click the Unshare icon
Confirm the unsharing action
The document will no longer be available to the client on the Customer Portal.
Important Considerations
Only files located in the client's official Job Docs folder in Google Drive can be shared
If you delete files from Google Drive without unsharing them from the Customer Portal, clients may encounter errors when trying to download them
Regularly review shared documents to ensure they are up-to-date and relevant
By following these steps and best practices, you can effectively manage the documents available to your clients on the Customer Portal, ensuring they have access to the most relevant and current information throughout their building project.
