You can manage tasks within construction, preconstruction, maintenance/warranty, and sales schedules using the combined schedule screen. This tool allows you to manage overall durations, see dependencies between tasks, and understand how changes in one task's duration impact others.
Accessing the Schedule
Open the relevant schedule (Construction, Preconstruction, Maintenance/Warranty, or Sales).
The page is divided into two parts: the left part with the list of tasks and the right part with the collapsible Gantt Chart.
Understanding Task Types
Your schedule displays several types of tasks:
Critical Path Stages (CP): Main construction stages (shown in bold)
Cost Centre Tasks (CCO): Individual cost centre items
Regular Tasks: Generic tasks without a specific type
Sub-Tasks: Tasks nested under other tasks
Tasks List Columns
In the table of tasks, the following columns are visible:
Number: The ordinal number of the task, assigned automatically.
Task Name: Name of the task.
Resource: Supplier or contractor providing the service.
Type: Type of the task (CP – Critical Path, CCO – Cost Center task, SUM – sub-task).
Pred.: Predecessor task number.
FS (Finish to Start): The predecessor must finish before the successor starts.
SS (Start to Start): The predecessor must start before the successor starts.
FF (Finish to Finish): The predecessor must finish before the successor finishes.
SF (Start to Finish): The predecessor must start before the successor finishes.
Duration: Planned duration in days.
Start Date: The date when the task is scheduled to start.
End Date: The date when the task is scheduled to be completed.
Base Start Date (optional): The original planned start date for the task, used as a reference point.
Base End Date (optional): The original planned end date for the task, used as a reference point.
Confirmed With: The person the supervisor contacts during weekly calls. Syncs with the Construction worksheet.
On Date: The date the supervisor confirmed the details with the "Confirmed With" person. Syncs with the Construction worksheet.
For Date: The date the supervisor scheduled the person to be on-site. Syncs with the Construction worksheet.
Claim/Draw: The claim/draw stage associated with the Critical Path (CP) or Cost Center (CCO) task.
%: The percentage of the task that has been completed, ranging from 0-100%.
Done, %: The button used to mark the completion percentage of the task.
Notes: Additional information or comments about the task.
Excl: Excludes the task from the total duration and reports.
Description: A detailed description of the task.
Tip: Columns may be hidden or rearranged by clicking the table settings icon.
Basic Task Management
Adding Tasks
The tasks list shows the hierarchy of all tasks that should be completed for the successful completion of the job. By default, the hierarchy of tasks is taken from the Construction Critical Path with all the Cost Centers mapped to each stage of this Critical Path. You can modify this structure and add new tasks, as well as sub-tasks within it.
Note: You cannot add new Critical Path Stages and Cost Centers into the construction schedule. All the pre-defined Critical Path Stages and Cost Centers are loaded from the Construction Schedule Template.
Hover over the Critical Path Stage or Cost Center until action icons appear.
Click the Add Task icon. A new row with the generic task name appears on the list.
Double-click the row and enter the task name.
When complete, click Process.
Adding Sub-Tasks
You can add sub-tasks for generic tasks and Critical Path Stages, but you cannot add sub-tasks for Cost Centers.
Note: You cannot create a sub-task for the Critical Path Stage labeled ‘Start’.
Hover over the task where you want to add a sub-task until action icons appear.
Click the Add Sub-task icon. Enter the sub-task name and click Process.
Tip: You can convert an existing sub-task into a generic task by clicking the 'Not Sub-Task' icon to the right of the 'Create Sub-Task' icon.
Editing Tasks
Locate the task you want to edit.
Hover over it until action icons appear.
Click the Edit icon. Make the necessary changes and click Process.
Cloning Tasks
You can duplicate CCO tasks that aren't completed or deleted:
Locate an eligible CCO task
Click the Clone icon
A copy appears below the original task
Adjust dates and details as needed
The cloned task:
Keeps the original resource and type
Sets duration to 1 day
Starts with 0% completion
Appears separately in vendor reports
Deleting/Restoring Tasks
You can delete the Tasks and Sub-Tasks that you added for Critical Path Stages and Cost Centers.
Locate the task or sub-task you want to delete.
Hover over it until action icons appear.
Click the Delete icon. Confirm removal and click Process.
For Critical Path CCO tasks:
Tasks are marked as deleted rather than removed
They appear in red when "Show Deleted" is enabled
They're hidden from reports and calculations
To restore a task:
Toggle "Show Deleted" to view deleted tasks
Click the Undelete icon
Tasks linked to job orders automatically restore if their amount changes from $0
Adjusting Task Order
You can change the order of elements on the tasks list. You can change the order of all task types that you have. Please consider the following while re-ordering tasks:
You can only re-order Critical Path stages within the same level of hierarchy.
You can re-order Cost Centers within the same Critical Path Stages and you can move them from one Critical Path Stage to another if both stages are expanded.
You can re-order tasks within the same Cost Center and you can move them to another Critical Path Stage.
You can re-order sub-tasks within the same and move them to another Critical Path Stage as a Task.
Note: You cannot change the position of the first task labeled ‘Start’. It should always be at the top of the list of tasks.
Drag the task to the desired position within the list.
Click Process to save the changes.
Expanding/Collapsing Tasks
Click Expand All to view all tasks
Click Collapse All to hide all tasks
Click the arrow next to each CP task to expand or collapse specific sections
Completing Tasks
To update the completion status of tasks, follow these steps:
Locate the task you want to update in the task list.
Click the Done button:
One click sets the task to 100% completed.
Two clicks set the task to 50% completed.
Three clicks revert the task back to 0% completed.
As you complete tasks, the total percentage completed of the Critical Path Stage also increases. If there is a Claim/Draw rule tied to that Critical Path task, the Claim/Draw will become due when all tasks are done and the Critical Path is 100% completed.
Hiding Completed Tasks
Toggle Show completed tasks to hide tasks with 100% completion.
Using the Gantt Chart
The Gantt Chart is an essential component of the schedule management screen, providing a visual representation of task timelines and dependencies. This section guides you on how to use the Gantt Chart to adjust task positions, modify durations, and manage dependencies effectively.
Adjusting Task Dates
Hover over the taskbar you want to change the start/end dates for.
Drag the taskbar to the desired position.
Click Process to save the changes.
Adjusting Task Duration
Hover over the edges of the taskbar you want to change the duration for.
Drag the edge to change the duration.
Click Process to save the changes.
Editing Task Details
You can quickly access and edit comprehensive task information directly from the Gantt chart:
Double-click any taskbar in the Gantt chart
The Edit Task Details window opens, allowing you to modify:
Task name
Resource allocation
Duration
Start and end dates
Completion percentage
Notes and descriptions
Construction worksheet details
Make your changes
Click Save
Pro Tip: This method is particularly useful when working in the full-screen Gantt Chart View.
Full-Screen Gantt Chart
Need a bigger view of your schedule? The Gantt chart can be expanded to full screen mode:
Locate the Expand icon in the top right corner of the Gantt chart

Printing the Gantt Chart
Need a PDF version of your schedule? You can easily print your Gantt chart:
Click the Print button in the top right corner of the Gantt chart
Choose your preferred format:
Single Page: Fits the entire schedule on one page (best for overview presentations)
Multi-Page: Spreads the schedule across multiple pages for better detail visibility
The PDF will generate and download automatically
Tip: Consider using multi-page format for detailed schedules where task names and dates need to be clearly legible. Single page works well for high-level timeline reviews or when you need to see the entire project at once.
Working with Dependencies
Managing task dependencies is crucial for ensuring that tasks are completed in the correct order and on schedule. Task dependencies and predecessor relationships can be managed either on the Gantt Chart or in the task list. The task list offers greater customisation options for fine-tuning these relationships. This section explains how to set and adjust dependencies between tasks using both methods, ensuring a smooth workflow and timely project completion.
Create Task Dependencies
You can manage dependencies between tasks and indicate that some tasks can be started only when a specific task is completed or starts.
Types of Dependencies:
FS (Finish to Start): The predecessor must finish before the successor starts.
SS (Start to Start): The predecessor must start before the successor starts.
FF (Finish to Finish): The predecessor must finish before the successor finishes.
SF (Start to Finish): The predecessor must start before the successor finishes.
Create Dependencies with the Gantt Chart
You can manage dependencies between tasks and in this way indicate that some task can be started only when a specific task is completed or starts.
Hover over the task bar.
Drag a line from one activity bar to another to set dependencies.
Click Process to save the changes.
Create Dependencies on the Task List
Rather than dragging lines between task bars on the Gantt Chart, you can directly enter the task number and relationship type into the Pred. field. Multiple relationships can be added for each task, which will be displayed in the field labeled as ∑.
To manually enter a predecessor task and its connection type:
Double-click the text field with the ∑ label and input the task number and relationship type (e.g., 16FS for Finish to Start).
Press Enter to save.
For more customisation:
Locate the task in the list that needs predecessor tasks.
Click the Add Predecessors icon (∑).
In the Predecessor form, define the predecessor task, relationship type (Finish to Start, Start to Start, Finish to Finish, Start to Finish), and delay or overlap between tasks (+ for delay, - for overlap).
Specify the number of days for the delay or overlap.
Click Apply and then Process.
The delay and overlap values will be displayed as lags when hovering over a relationship arrow on the Gantt Chart.
Delete Task Dependencies
To delete an unnecessary relationship, simply clear the value in the ∑ field. Alternatively, predecessor relationships can also be deleted by double clicking on the dependency line in the Gantt chart.
Switching Views
Above the top right part of the Gantt Chart, locate the Switch view icon.
Click this icon and select the view for showing tasks on the Gantt Chart (Month, Week, Day).
While navigating through the Gantt chart, you may need to quickly return to the current date to see the due tasks.
Base Dates
Base dates help you compare planned start and end dates with actual progress. This feature allows you to spot schedule deviations quickly and manage timelines effectively. This section covers how to display and save base dates for better project tracking.
Saving Base Dates
Base dates are set automatically when the schedule is created, based on the initial start and end dates. Here’s how they work:
Schedule Creation: Base dates are saved the first time you process and save your schedule with updated dates.
First Task Completion: When you make changes to your schedule and complete a task for the first time, the system will prompt you to save base dates. This ensures you have the latest version before officially starting the job.
Manual Override: You can always click the 'Save Base Dates' icon to override existing base dates. This updates the base dates to match the current start and end dates for every task.
Displaying Base Dates
To show base dates:
Locate the Toggle: Above the top-right corner of the task table, locate the 'Show Base Dates' toggle.
Activate the Toggle: Move the toggle to the right to display two additional columns for base start and end dates.
Base dates are also displayed on the Gantt chart in a shaded colour, allowing you to visually see the schedule variance.
